Operations Coordinator

SLUG Magazine is seeking a full-time Operations Coordinator to oversee the internal systems, people operations, logistics and administrative infrastructure that keep the organization running smoothly.

This role supports the Executive Editor and the broader SLUG team by creating structure, managing day-to-day operations and ensuring that organizational needs are handled efficiently. The Operations Coordinator will co-manage the Community Development, Circulation and Editorial Departments, providing support, production, direction, time management and accountability while keeping their work aligned with organizational priorities.

The ideal candidate is highly organized, detail-oriented and proactive, with a talent for building systems, solving problems and keeping a creative organization moving behind the scenes.

Key Responsibilities

Operations & Department Management

  • Oversee day-to-day organizational operations and administrative systems.
  • Co-manage Community Development, Circulation and Editorial Departments, including priorities, workflows, production and accountability.
  • Develop and maintain internal systems, processes, documentation and organizational records.
  • Coordinate office, facility, equipment and supply needs.
  • Coordinate organizational calendars, scheduling and recurring administrative deadlines.

HR & Finance

  • Lead hiring and onboarding processes and maintain related records.
  • Coordinate payroll and routine staff administration.
  • Track expenses, process invoices and support budget monitoring and financial reporting.
  • Coordinate with outside financial, payroll and other administrative service providers as needed.
  • Provide weekly and monthly report to Executive Editor.
  • Coordinate team building activities and other office team work opportunities such as weekly chore assignments.
  • Coordinate team goals and accountability systems.

Editorial, Production & Events

  • Support editorial production, events and coverage through scheduling and logistical coordination.
  • Coordinate production and issue-related logistics, vendors, venues and outside partners.
  • Support newsletter and social media scheduling mechanics while editorial staff retain responsibility for content.
  • Coordinate internal meetings, planning and other organizational logistics.
  • Support monthly issue production cycles and internal goals in relation to thereof.

Community Development

  • Work with Community Development Department to increase overall operating budget including pitching, selling sponsorships and other SLUG services as needed
  • Coordinate Community Development sales goals, monitor systems that support sales growth. 
  • Maintain accurate organizational, donor, member and contact records.

Executive & Organizational Support

  • Support the Executive Editor with strategic projects, planning, projecting, communications and day-to-day operational needs.
  • Coordinate organizational priorities and contribute to planning and strategy.
  • Ensure organizational policies, confidentiality and data protection practices are followed.
  • Identify operational challenges and develop systems and solutions to improve efficiency and effectiveness.
  • Represent SLUG professionally with staff, applicants, vendors, partners and the broader community.
  • Support Executive Editor in creating an ethical and transparent AI policy to guide organizational growth while maintaining a moral compass encapsulating human-lead design, journalistic integrity and human-lead creation

Qualifications

  • Strong organizational, time-management and problem-solving skills.
  • Excellent written and verbal communication.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple priorities and shifting deadlines.
  • Experience supervising staff or coordinating teams.
  • Ability to handle confidential personnel and financial information with discretion.
  • Comfort with Google Workspace and learning new software and systems.
  • Ability to work independently while collaborating across departments.
  • Familiarity with Utah’s arts, music and cultural communities is helpful, but not required.
  • Availability to work occasional evenings and weekends as needed.

  • Experience in media, nonprofit, arts or community-based organizations.
